<p>Palm Beach County reported more than 72,000 businesses in its FY 2023–24 annual report. More importantly, 94% had 25 or fewer employees, and 76% had five or fewer. In businesses that size, there usually isn&#8217;t an unlimited supply of people waiting around to handle administrative work.</p>

<p>You could train an employee to process requests more efficiently.</p>
<p>All of those things might help.</p>

<p>What if the customer instead completed a simple online request that asked the right questions from the beginning?</p>
<p>The request could identify the customer or property, determine what kind of help is needed, collect photographs or documents when appropriate, and send the information to the person responsible for handling it.</p>
<p>The customer could immediately receive confirmation that the request was received.</p>
<p>Now the employee isn&#8217;t spending time sorting the request.</p>
<p>They&#8217;re spending their time <strong>responding to it.</strong></p>
<p>That&#8217;s a very different kind of improvement.</p>
<h2>What Is Business Process Automation?</h2>
<p>Business process automation simply means using technology to perform repetitive parts of a business process that would otherwise require someone to do them manually.</p>
<p>That sounds more technical than it usually is.</p>
<p>IBM describes business process automation as using software to automate repetitive business processes and notes that common candidates include high-volume, repetitive and time-sensitive tasks.</p>
<p>In a small business, that could be something as ordinary as:</p>

<li>Routing an inquiry to the correct employee</li>
<li>Collecting documents before an appointment</li>
<li>Scheduling a reminder</li>

<p>But <em>“How can we use AI?”</em> usually isn&#8217;t the first question I would ask.</p>
<p>I&#8217;d ask:</p>
<p><strong>What keeps happening in your business that somebody shouldn&#8217;t have to keep doing manually?</strong></p>
<p>Maybe customers constantly send incomplete information.</p>
<p>Maybe requests have to be sorted and forwarded.</p>
<p>Maybe someone enters the same information into two different places.</p>
<p>Maybe employees repeatedly send the same instructions.</p>
<p>Maybe documents arrive by email and have to be manually organized.</p>
<p>Maybe every new customer triggers the same six administrative steps.</p>
<p>Maybe your staff spends part of every Friday putting together information that already exists somewhere else.</p>
<p>Find those things first.</p>
<p>Then we can decide whether the solution is automation, an integration, a better form, a different piece of software, AI or simply redesigning the process.</p>

<p><strong>“Then I send this to…”</strong></p>
<p><strong>“We copy that into…”</strong></p>
<p><strong>“I have to remember to…”</strong></p>
<p><strong>“Someone checks this every…”</strong></p>
<p><strong>“After they submit it, we…”</strong></p>
<p>Those sentences tell you a lot about how information moves through your business.</p>
<p>High-volume, repetitive, time-sensitive processes involving multiple people are often good candidates for automation.</p>
<p>That doesn&#8217;t mean every step should be automated.</p>
<p>It means every repetitive step is worth questioning.</p>
<h2>What Shouldn&#8217;t You Automate?</h2>
<p>This is just as important.</p>
<p>The goal isn&#8217;t to remove people from your business.</p>
<p>People are usually the most valuable part of it.</p>
<p>There are conversations that require empathy. Decisions that require experience. Customers who have unusual circumstances. Problems that don&#8217;t fit neatly into a predefined category.</p>

<p>Why does the customer have to call?</p>
<p>Why are three people copied on this email?</p>
<p>Could we ask this question earlier?</p>
<p>Could two steps become one?</p>
<p>Sometimes the best improvement isn&#8217;t adding technology.</p>
<p>It&#8217;s removing a step.</p>
<p>That&#8217;s why we don&#8217;t believe in starting with a particular <a href="https://grassrootsconsult.com/what-website-platform-is-best-for-me/">platform</a> or piece of software.</p>
<p><strong>Understand the business first. Then build what it actually needs.</strong></p>
